Xero – Billing Codes

Billing Codes allow you to override the default account defined in your Xero settings for a specific transaction type.

What are Billing Codes?

When you first connect Syngency to Xero, you'll map Syngency transactions (such as a talent fee, booking expense, or agency fee) to an account in your Xero chart of accounts.

Each time Syngency syncs an invoice or bill to Xero, it will code each line item to the selected Xero account:

This is straightforward and convenient if you always want these line items to be coded to the same accounts each time, but there may be instances where you will want to override the Xero account being mapped, based on the context of the booking.

However, you may want greater control over the specific account associated with each transaction from booking to booking, and Billing Codes provide that functionality.

Think of Billing Codes as an Account Override.

Creating Billing Codes

To create a billing code – or override a default account – navigate to Settings > Xero > Billing Codes in Syngency, and enter the name of a new Billing Code, before clicking the + button.

Once the billing code has been added, a dropdown list of Xero accounts will appear, and you can select the Xero account that should override the default when this billing code is selected:

In the example above, we add separate billing codes for the talent fees billed by Influencers and Actors, respectively.

Applying Billing Codes

Once the billing codes have been created, we can select them within bookings, mother agency invoices, and talent expenses.

For example, if we are overriding the default Talent Fee account with the Influencer account, we select this from the Billing Code dropdown when the fee is added to the booking:

This will code the Product/Service for this line item in the Xero invoice to the "Influencers" account assigned to the respective billing code in Syngency, overriding the default "Talent Fees" account.
